How document scanning improved this client’s business
About the client
The client is a UK utility provider based in Newcastle, and is listed on the London Stock Exchange (FTSE 250 index).
What they wanted
They wanted fast, accurate and high quality document scanning of purchase ledger documentation and drawing scanning for their technical survey documents.
What we did
We offered a total managed outsourced service. This included scheduled collections from all the client’s offices, as well as rapid response in case of busy periods.
We prepared the documents for scanning in line with the client’s instructions. Some of the drawings were very old and the clarity of these originals was poor. So it was vital that we took extra care of these when handling and scanning.
We scanned the A4 size documents in bulk using our high speed Kodak scanners. And we completed the drawing scanning of the A2, A1 and A0 drawings within the client’s timescale.
To make sure the images were up to the client’s standards, they carried out quality assurance checks. They confirmed the images were of a high quality – better in fact that the original drawings.
Using a complex string of information, we referenced the documents and imported them in bulk to the client’s Livelink document management software.
Indexing the images was essential as the client needed to be able to find and access them quickly and easily. We provided them with an integrated XML file to enable the completed electronic files to be transferred via SFTP.
