Get to your documents anytime, anywhere

Once we scan and digitise your archive and bulk documents, we securely store and protect them on our cloud based hosting system,  FreeDocs. Alternatively, we can return all data on a USB or send electronically.

You can access this 24/7 and from any location with internet access.

How does Archive Scanning work?

● Our logistics team collect your new paper documents from your location. Whether it’s a small project of several archive boxes or a large project of several thousand, we'll take care of it for you.

● We take your documents to our state-of-the-art scanning and storage facility via our secure logistics team.

● All of your documents are scanned and digitised at regular intervals in line with your business needs and processes

● The documents we scan are processed in full compliance with British Standard Institute BIP0008 (evidential weight and legal admissibility of information stored electronically. This is essential in ensuring the authenticity and content of the scanned images can never be questioned.

● We work quickly to convert your paper documents into digital images. Then we send these scanned documents to you either electronically or on portable media. You can choose from our online hosting system, FreeDocs, or a file transfer using FTP or SFTP. Or we can return the scanned images to you on a hard drive or memory stick.

● Depending on what you need, we either take your original paper documents back to your premises, store them in our dedicated storage facility and/or shred and recycle them in line with your document retention policy.

HOW DOES ARCHIVE SCANNING WORK?

Step 1- Consultation

Initially we like to arrange a face to face meeting in order to understand your current circumstances, objectives and future scanning needs. The initial consultant is free of charge and clients are under no obligation to proceed. We can tailor your project depending on the format of documentation you require digitising, from: microfilm, microfiche, large format drawings and antique books. After viewing the archive, we will provide you with formal advice on the most cost-effective scanning solution, the various options available regarding reviewing the digitised documents and the most appropriate fee structure to remunerate us. This will be detailed within a tailored proposal, created for you by the dedicated member of staff.

Step 2- Collection

The logistics team will contact you to arrange the most convenient date and time to collect the documents from your premises. We collect from across the UK and Europe, so it doesn't matter where you're based. Whether your archive is relatively small with several boxes or a large project of several thousand, we will ensure the safe transportation of your documents to the production centre. We can also collect your documentation from an offsite storage facility or an incumbent storage provider if required.

Once your boxes arrive at Storetec, we begin the check in process using i-track software to allocate each box a barcode tracking label. This allows the Storetec team to locate your box at all times. It also means that if you need access to your information quickly, and we can arrange a fast, efficient retrieval for you within 4 hours.

Step 3- Production

Your boxes of documentation are then passed onto the production floor where the digitisation process begins. Firstly, the allocated preparation team member will remove all fastenings, folders, staples, paperclips and bindings within your documents. Each team member is only allocated 1 box at a time to eliminate any chance of document cross contamination.

All the documents we convert are processed in full compliance with British Standard Institute BIP0008, 'Evidential weight and legal admissibility of information stored electronically'. This is essential in ensuring the authenticity and content of the electronic images can never be questioned.

Once prepared, the documents are then processed through our state-of-the-art scanners. Once quality assurance has been completed, the digitised documents are passed onto the indexing department who will create a field tree to replicate your current filing system. The documents can be indexed and referenced to suit your requirements.

Step 4- FreeDocs or Electronic Return

We work quickly to convert your paper documents into digital images. We can return the digital images to you either electronically or via an encrypted USB stick or hard drive. Alternatively, you may choose to access the images online using our cloud based hosting system FreeDocs. With FreeDocs you can access digitised documents anytime, anywhere in the world. With advanced OCR search tools, you can through 283 million records in an impressive 5 seconds!

Step 5- Store or Shred

Depending on your requirements, we can either return the paper documents to your offices or place them into secure storage at our state-of the art facility. In addition, we provide document destruction services for clients who must adhere to legal destruction notices. Destruction certificates can be provided if requested.
